Who: Public Records is a 9,500 sq ft Brooklyn venue with five unique spaces, including a garden, café, cocktail bar, and nightclub. Known for its immersive quadraphonic sound system and award-winning beverage program (Esquire’s Top 100 Bars in America), it hosts everything from intimate semi-private dinners to ticketed nightlife events and full venue buyouts.
The events team was buried under a flood of unstructured inquiries—more than 50 per week—through a catch-all “hello” inbox. Many requests were vague or missing critical info like guest count, date, or budget.
“It definitely got messy at times,” says Kristina, Director of Events & Partnerships. “We’d be combing through email threads trying to understand the details of a request. It just wasn’t the most efficient way to work.”
They started with general-purpose tools like Jotform and Typeform, but those fell short in offering guidance or context. Guests often missed key details about the venue’s spaces and offerings, and the team still had to manually follow up to qualify each lead.
Dexter replaced the general inbox with a structured intake tool that walks guests through the key details—guest count, date, event type, and more—while also showing them what the venue offers.
Guests now come in with a clearer understanding of what’s possible, and the team receives complete, actionable requests from the start.
